Privacy Notice
This notice explains what personal information we collect when you use this website, register for the conference or attend it, what we do with it, and what rights you have over it.
1. Who we are
TRIDENT Forum Příbor is organised by Space Innovations s.r.o., Obránců míru 107, Řečany nad Labem 53313, IČO 288 24 342, Czech Republic. We are the data controller for the information described here.
For anything to do with your data, write to info@tridentforum.eu.
2. What we collect, and why
| What | Why | Legal basis | Required |
|---|---|---|---|
| Name, email, organisation, your field of expertise | To register you, issue your conference code, send you conference information, and record your professional feedback | Performance of our contract with you | Required |
| Presentation title, abstract, affiliation, years of experience, biography, if you submit an abstract | So the programme committee can assess your submission and, if accepted, publish your session details | Contract, or our legitimate interest in running a programme review | Optional |
| Your approved publication, and your abstract and biography if you choose to include them | To publish your contribution in the SPIN Intelligence Feed, in a category dedicated to the conference | Your consent, given per item when you approve publication, see section 4 | Optional |
| Payment record: amount, date, transaction reference | To take payment and meet our accounting obligations | Contract, and legal obligation | Required |
| Your scores in the conference voting | To produce the conference results | Our legitimate interests, see section 3 | Optional |
| Dietary requirements, if you give them | Catering only | Your explicit consent, see section 6 | Optional |
| Your email, if you opt in to hearing about future events | To tell you about future TRIDENT Forum editions | Your consent, which you can withdraw at any time | Optional |
| Technical logs: IP address, timestamps | Security and preventing abuse of the registration and voting system | Our legitimate interest in keeping the service secure | Automatic |
We do not use your data for automated decision-making or profiling.
Giving us your name, email and organisation is necessary to register. Everything else on this list is optional.
Card details. Payments are handled by our payment provider, GOPAY s.r.o. We never see or store your card number.
3. Voting, or your professional feedback
Your ballots are stored against your conference code, not your name, and no IP address is recorded alongside a vote. Results are published only as combined scores. No individual ballot is ever shown to anyone, including sponsors and the organisers.
We want to be straightforward about one limit to this. Until we delete registration data six months after the conference, we could in principle connect a ballot back to a registration through the conference code. We keep that connection because it is the only way to ensure each delegate votes once. Six months after the conference we delete the registration data, which removes the connection permanently and leaves the results genuinely anonymous.
You can object to your ballots being processed at any time, and we will remove them.
4. Publishing your contribution
If your submission is accepted, we publish an approved version of your contribution in the SPIN Intelligence Feed, in a category dedicated to the conference, at spaceinnovations.net/intel.
Nothing is published without your approval, and you decide what it contains. You choose whether your abstract is included, and whether your biography appears alongside it.
The abstract you submit to the programme committee is not archived. It is deleted six months after the conference, along with the rest of your registration record. What remains is only the publication you approved.
The feed is a public website, so anything you approve can be read by anyone, indexed by search engines and copied elsewhere.
You can withdraw your approval at any time and we will remove the item from the feed. We cannot recall copies that other people have already downloaded, cached or indexed.
5. Photography and recording
We photograph the conference and may record sessions, for conference reporting and to promote future editions. We do this on the basis of our legitimate interests in documenting a public professional event.
If you would rather not appear, collect a yellow lanyard at the registration desk. Our photographers are briefed to respect it. You can also ask us at any time to remove a specific image of you.
Speakers are asked separately for permission before their session is recorded.
6. Dietary requirements
If you tell us about allergies or dietary needs, that information can reveal something about your health or beliefs, so we treat it with extra care. We process it only with your explicit consent, use it only for catering, share it with the caterer without your name wherever we can, and delete it after the conference.
Providing it is entirely optional, and you can withdraw your consent at any time.
7. Who else sees your data
- Our payment provider, GOPAY s.r.o., to process your payment. They receive your name, email address, the amount due and an order reference, and you enter your card details with them directly
- Our hosting and email providers, who store and deliver data on our behalf under contract
- The venue and caterer, only what they need to run the event
- Readers of the SPIN Intelligence Feed, for anything you have approved for publication — the feed is public
- Where the law requires it
We do not sell your data. We do not share your details with sponsors unless you have specifically agreed to it.
All of these providers operate within the European Union, so your data is not transferred outside it. If that changes, we will update this notice and apply the safeguards the law requires.
8. How long we keep it
| Data | Retention period |
|---|---|
| Registration details | 6 months after the conference |
| Abstract submissions to the programme committee | 6 months after the conference |
| Publications you have approved, in the SPIN Intelligence Feed | Indefinitely, while the feed remains online, or until you withdraw your approval |
| Payment and accounting records | 10 years, as Czech law requires |
| Technical logs | 90 days |
| Voting results | Indefinitely, in anonymous form only |
| Photographs | Indefinitely, in anonymous form only, annotated with your approval only |
9. Your rights
You can ask us to:
- give you a copy of the personal data we hold about you
- correct anything that is wrong
- delete your data
- restrict what we do with it
- send it to you in a portable format
- stop processing where we rely on legitimate interests, including voting and photography
- withdraw consent you have given, such as for dietary information or marketing
Write to info@tridentforum.eu. We will respond within one month.
One exception: we cannot delete payment and accounting records on request, because we are legally required to keep them.
If you withdraw your approval for a publication we will remove it from the feed, but copies already downloaded, cached or indexed by others are beyond our reach.
If you are unhappy with how we have handled your data, you can complain to the Czech supervisory authority:
